Moving an office without downtime: a step-by-step plan
An office move is mostly a scheduling problem. Get the order of work right and your team closes laptops on Friday and opens them in the new place on Monday.

1. Start 6–8 weeks ahead
Pick the moving window first — usually a weekend or two evenings — and work backwards. Book the lift and loading bay in both buildings, and check whether either building needs an insurance certificate from the movers.
2. Make an inventory and a floor plan
- Count desks, chairs, cabinets and anything that needs disassembly.
- Give every desk a number and mark it on the new floor plan.
- Use the same number on every box from that desk — colour labels per department help.
3. IT and equipment
Back up servers before they move and photograph cable layouts. Monitors travel best in their original boxes or in padded crates; we bring crates and anti-static wrap on request.
4. Documents and data
Files with personal data stay sealed and numbered from the old shelf to the new one. Archive boxes are taped, signed across the tape and transported in a locked van.
5. Moving day
- One person on your side with the floor plan and a phone.
- Desks are assembled first, then boxes go straight to their numbered spots.
- IT reconnects while the crew finishes the common areas.
